Personal data
Docthours acts in two roles. For this website, trial requests and outreach, David Vandervaeren is the controller. In the scheduling application, the hospital department decides which data is entered: it is the controller, and Docthours processes that data on its behalf as a processor.
Trial requests on this website
- Data: name, email address, hospital and department; IP address, browser and form fill time, used only to filter automated submissions.
- Purpose: replying to you and setting up the trial. Legal basis: steps taken at your request before a contract.
- Retention: submissions classified as automated are deleted after 90 days, other requests three years after the last exchange.
Email outreach
- Docthours writes to hospital heads of department and schedule managers. Their professional contact details come from public sources (hospital websites, publications) or are inferred from the hospital's address format.
- Data: name, role, department, professional email address, dates of messages and replies.
- Legal basis: legitimate interest in presenting a tool directly related to your role.
- Links in our emails may carry an identifier showing whether you visited this website from that message (date and IP address).
- To stop being contacted, reply "stop" or write to contact@docthours.com: your details are deleted, except the minimum needed not to write to you again.
- Retention: three years after the last contact.
Docthours application
- The department enters its members' names, email addresses, shifts, preferences, leave and absences. An absence can reveal health information (for example sick leave); Docthours stores no patient data.
- Docthours processes this data only on the department's instructions and for scheduling. To exercise your rights over it, contact your department; Docthours assists it.
- For technical support, the publisher can view an account with its permissions; every such access is logged.
Technical logs
The server records the IP address, browser and requested pages, for security and error diagnosis. These logs are kept for twelve months at most.
Usage measurement
To improve the product, Docthours records which screens and features are used (for example the planning view chosen or the number of active filters). These records are linked to your account but contain no name, email address, IP address or planning content. They are based on our legitimate interest, exclude support sessions and are kept for twelve months at most.
Cookies and local storage
Docthours only uses necessary cookies: login session, protection against request forgery and language choice. No advertising, no third-party trackers. The application keeps a copy of the schedule you viewed in your browser so it loads faster; it is deleted when you log out.
Recipients
Data is hosted in the European Union and is never sold or transferred. Service providers: OVH (hosting and mailbox, France) and MailerSend (application emails, Lithuania).
Your rights
You can request access to your data, its rectification, erasure, restriction or portability, or object to its processing, by writing to contact@docthours.com. We reply within one month. You can also lodge a complaint with the Belgian Data Protection Authority, rue de la Presse 35, 1000 Brussels (dataprotectionauthority.be).
